Legal Information
Privacy Policy
How we collect, use, disclose, retain and protect personal information across our website, portal and mobile application.
Last updated: 24 July 2026. This policy applies to the Estate Advice Group website, client and professional portals, Android application and any iOS application released by us.
1. Who we are
Estate Advice Group is a trading style of e-Volve Software Services Limited (Company No. 16201309), whose registered office is at Dukeries Business Centre, 31-33 Retford Road, Worksop, Nottinghamshire, S80 2PU. In this policy, “Estate Advice Group”, “EAG”, “we”, “us” and “our” refer to e-Volve Software Services Limited.
For UK data protection law, we generally act as controller for information collected through our public website, matching service, user accounts, mobile application and platform administration. Independent advisors and professional firms may become separate controllers for information they receive and use in providing their own services.
2. Scope and service
Estate Advice Group operates an estate-planning enquiry, professional discovery, matching, lead marketplace and secure communications platform. We are not a law firm, tax adviser, financial adviser, mortgage adviser, equity-release provider or regulator. Professionals using the platform are independent and are responsible for their own advice, services, records, regulatory permissions and legal compliance.
3. Information we collect
- Account and identity data: name, email address, telephone number, login credentials, role, account status and verification information.
- Client enquiry and matching data: location, type of assistance sought, preferred contact method, timing, availability, preferences, form answers and free-text messages.
- Personal and financial circumstances: information a user chooses to provide about family, property, assets, liabilities, estate value, inheritance, tax, wills, trusts, probate, powers of attorney, later-life planning or related circumstances.
- Professional data: business details, qualifications, regulatory or professional information, areas of practice, biography, profile image, service locations, pricing, availability and account activity.
- Communications: messages sent through the platform, support correspondence, complaint information and notification preferences.
- Transaction data: credit purchases, invoices, refunds, lead purchases, replacement requests, payment status and accounting records. Full payment-card details are processed by our payment provider and are not stored by EAG.
- Device and technical data: IP address, browser or device type, operating system, app version, authentication tokens, push-notification tokens, timestamps, security events, diagnostic information and audit logs.
- Usage data: pages and screens viewed, feature interactions, notification delivery or engagement, cookie choices and service analytics where enabled.
- Uploaded content: profile images, documents or other content voluntarily supplied through an enabled feature.
4. How we obtain information
We obtain information directly from users, from forms and account activity, from professional firms and authorised staff, from advertising or lead-generation integrations, from payment and technical providers, and automatically through devices, logs, cookies and similar technologies where permitted.
5. How we use information
- To create, authenticate, administer and secure accounts.
- To receive, assess, route, match and manage advice enquiries.
- To display limited or anonymised lead previews to eligible professionals.
- To disclose relevant enquiry details to an approved professional where the enquiry is purchased, assigned or otherwise legitimately made available.
- To provide messaging, notifications, customer support and app functionality.
- To manage credits, payments, invoices, refunds, replacement requests and transaction records.
- To monitor performance, diagnose faults, prevent misuse and maintain security and audit trails.
- To investigate complaints, enforce terms, establish or defend legal claims and comply with legal, tax, accounting and regulatory obligations.
- To improve the service and develop new features using appropriately limited, aggregated or de-identified information where practical.
6. Lawful bases
Depending on the activity, we rely on performance of a contract, steps requested before entering a contract, legitimate interests, legal obligation and consent. Our legitimate interests may include operating and improving the service, protecting users and systems, preventing fraud, administering commercial relationships and responding to enquiries. Where consent is relied upon, it may be withdrawn, although this does not affect earlier lawful processing.
7. Sharing information
We may share information with approved advisors and professional firms, hosting and cloud providers, email and push-notification providers, payment processors, analytics or diagnostics suppliers where enabled, customer-support providers, professional advisers, insurers, regulators, courts, law enforcement and parties involved in a business transfer. We only disclose information where there is a lawful basis and seek appropriate contractual and security protections from service providers.
Once an independent professional receives an enquiry, that professional may process the information as a separate controller under its own privacy notice. EAG does not control every subsequent use of information by an independent professional.
8. Mobile application and push notifications
The mobile application may process login and account data, app activity, device details, app version, security information and a device push token. Push tokens are used to deliver notifications such as new lead alerts, messages, transaction information and account updates. Notification preferences can be changed in the app or device settings. Device operating-system and notification providers may process delivery information under their own terms.
9. Cookies and similar technologies
We use essential technologies to provide security, sessions and core functionality. Analytics, advertising or similar non-essential technologies are used only where permitted and, where required, after consent. See our Cookie Policy.
10. International transfers
Some suppliers may process information outside the United Kingdom. Where required, we use lawful transfer mechanisms such as UK adequacy regulations, the UK International Data Transfer Agreement, an approved UK Addendum or another permitted safeguard.
11. Retention
We retain information only for as long as reasonably necessary for the purposes described above. Retention periods vary according to account status, transaction and tax requirements, complaints, fraud prevention, security, regulatory duties and potential legal claims. Information that no longer needs to identify a person may be anonymised.
12. Account and data deletion
Users can request account closure from the account settings area where available. A request can also be submitted without access to the app using our account deletion page. We may verify identity before acting. We will delete or anonymise data associated with the account unless limited information must be retained for security, fraud prevention, tax, accounting, regulatory compliance, complaints, dispute resolution or legal claims.
Closing an EAG account does not automatically erase records independently held by an advisor or professional firm. Those organisations should be contacted directly.
13. Security
We use technical and organisational measures intended to protect information, including access controls, authentication, restricted administration, logging, encryption in transit and other safeguards appropriate to the service. No online system can be guaranteed completely secure. Users must keep credentials confidential and should not submit unnecessary information.
14. Your rights
Subject to applicable law and exemptions, you may have rights to access, rectify or erase information, restrict processing, object to processing, request portability, withdraw consent and complain to the Information Commissioner’s Office. We may need to verify identity before responding.
15. Children
The account and professional marketplace services are intended for adults. We do not knowingly permit children to create professional or purchasing accounts. A parent, guardian or professional should avoid submitting unnecessary information about a child and must have an appropriate lawful basis for any information supplied.
16. Changes to this policy
We may update this policy when the service, suppliers, law or regulatory expectations change. The latest version will be published on this page with an updated date. Material changes may also be communicated through the app, portal or email where appropriate.
17. Contact and complaints
Privacy enquiries, rights requests and complaints can be sent to support@estateadvicegroup.com, through our app support page, or by writing to e-Volve Software Services Limited at the registered address above and marking the correspondence “Data Protection”.
You may also complain to the UK Information Commissioner’s Office. We would appreciate the opportunity to address the issue first.
